Job Description

Reporting to the Vice-President, Human Resources & Talent Management, the Pay & Benefits Coordinator will be responsible for administering payroll and benefits and assisting with other human resources activities.

Responsibilities

PAYROLL

  • Process, check and administer every aspect of payroll for a staff of approximately 250 employees
  • Set up new employee records (required on a frequent basis) and manage employee payroll files
  • Handle employee enquiries, answer questions or direct them to the appropriate source of information; address and solve problems
  • Ensure uniformity and conformity of internal documents
  • Make optimal use of payroll and other human resources tools
  • Develop and implement continuous improvement practices (reporting, statistics, tracking and management tools, etc.)
  • Carry out other related tasks as required

GROUP INSURANCE

  • Create and manage employee group insurance files
  • Serve as the primary point of contact with the insurance broker and the insurance company
  • Help administer the group insurance plan and work with the insurance broker to carry out changes to the plan as required
  • Manage and track disability and maternity leave claims
  • Respond to employees’ enquiries with regards to group insurance

VACATION AND PERSONAL LEAVE

  • Monitor annual vacation allotments and regularly track the number of vacation and personal days earned and used
  • Respond to employees’ enquiries about vacation and personal leave
  • Follow-up as required with managers

RETIREMENT SAVINGS PLAN

  • Enrol new employees in the group RRSP
  • Manage RRSP files of former employees

OTHER

  • Perform various monthly reconciliations
  • Contribute to the development, implementation, dissemination and application of human resources guidelines, procedures, and practices
  • Help the HR Department in coordinating onboarding and offboarding activities
  • Serve as a contact person for employees
  • Contribute to fostering a positive employee experience

Required Qualifications

  • College diploma (DCS/DEC) in accounting or another relevant field. Canadian Payroll Association certification
  • Five to seven years of payroll administration experience and in-depth knowledge of Canadian payroll rules and regulations
  • Proficiency in Microsoft Office suite, with advanced Excel skills
  • Extensive knowledge of ADP Workforce Now payroll system
  • Knowledge of TeamPay, an asset
  • In-depth knowledge of Canadian payroll rules and regulations
  • Familiarity with year-end reporting (T4s, R1s, summaries, etc.)
  • Familiarity with the principles of payroll administration and tax legislation
  • Knowledge of labour standards legislation (Loi sur les normes du travail)
  • Ability to keep up-to-date with technological advancements
  • Ability to set and follow priorities
  • Ability to work independently and as part of a team
  • Excellent time management and planning skills
  • Strong sense of initiative and ability to adapt to a changing workload
  • Detail-oriented and deadline-driven
  • Ability to handle confidential and/or sensitive information and maintain a high degree of  privacy  and discretion in dealing with employees
  • Fluency in written and spoken French and English
